This Privacy Policy explains how MED1 Technology LLC ("we," "us," or "our") collects, uses, and shares information when you use EMSConferences.com (the "Service"). By using the Service, you agree to this Policy.
1. Information We Collect
Information you provide. When you create an account or speaker profile we collect information such as your name, email address, professional credentials, biography, photo, employment and speaking history, and other profile details you choose to add. If you subscribe to a paid tier, payment is handled by Stripe; we receive transaction confirmations but never store your full card number. If you sign up for email alerts, we collect your email address.
Information collected automatically. We use Google Analytics to understand how the Service is used (pages viewed, approximate location, device and browser type). Google Analytics uses cookies and similar technologies. We also use browser local storage to keep you signed in to your account.
Information from public sources. Some directory listings are compiled from publicly available information, such as published conference agendas and speaker rosters.
2. How We Use Information
- To operate the directory, accounts, profiles, and search;
- To process subscriptions and send transactional emails (confirmations, claim links, password resets) via SendGrid;
- To relay messages sent through the "Contact Speaker" and booking features;
- To send email alerts you have requested (you can unsubscribe at any time);
- To understand usage and improve the Service;
- To prevent abuse and enforce our Terms of Service.
3. Contact Relay — How Speaker Email Privacy Works
When someone uses the "Contact Speaker" feature, the message is delivered through our servers. The speaker's email address is never displayed on the website or exposed to the sender. Speakers can opt out of being contactable in their profile settings.
4. How We Share Information
We do not sell your personal information. We share information only with:
- Service providers that help us operate the Service: Stripe (payments), SendGrid (email delivery), Google Analytics (usage measurement), and our hosting providers. These providers process data on our behalf under their own privacy and security commitments;
- The public, for information you choose to publish on a speaker profile or conference listing — that content is visible to anyone using the directory;
- Legal authorities, if required by law or to protect the rights, safety, or property of users or the Service;
- A successor entity, if we are involved in a merger, acquisition, or sale of assets, in which case this Policy will continue to apply to your information.
5. Cookies and Analytics Choices
You can control cookies through your browser settings. To opt out of Google Analytics across the web, you can install the Google Analytics Opt-out Browser Add-on.
6. Data Retention
We retain account and profile information while your account is active. If you close your account or ask us to remove a listing about you, we will delete or de-identify your personal information within a reasonable period, except where we must retain records for legal, billing, or security purposes.
7. Your Rights and Choices
You may access and edit your profile information at any time through your account. You may also email us to request a copy of your personal information, correct inaccurate information, delete your account and personal information, or remove a stub listing created about you from public sources. Depending on where you live, you may have additional rights under laws such as the Colorado Privacy Act, the California Consumer Privacy Act, or the GDPR; we honor verified requests consistent with applicable law and will not discriminate against you for exercising your rights.
8. Security
We use industry-standard measures to protect your information, including encrypted connections (HTTPS), hashed passwords, and access controls. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
9. Children
The Service is intended for professionals and is not directed to children under 18. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.
10. International Users
The Service is operated from the United States. If you use the Service from outside the US, your information will be processed and stored in the US.
11. Changes to This Policy
We may update this Policy from time to time. Material changes will be posted here with an updated "Last updated" date, and account holders will be notified by email where appropriate.
